Arrival of a new collaborator - Information to be communicated to us
The arrival of a collaborator is an important moment: access to tools, workstation setup, security, operational continuity...
At Novanexys, our role is to support you so that everything is ready from day one, with complete ease.
To ensure a quick and efficient setup, here is the information we need.
📋 1. General information about the collaborator
To create an account and prepare access:
- Last Name
- First Name
- Desired professional email address
- Start date
- End date of contract (fixed-term, internship, temporary, etc.)
- Job title
- Department (if applicable)
- Hierarchical supervisor (if applicable)
- Preferred language of the employee (FR / EN)
- Professional phone number (if existing or to be created)
- Mobile phone number (if it should appear in the email signature)
🔐 2. Access
In order for us to properly prepare their work environment, please let us know what access your collaborator needs by describing:
- Their role in the company
- The name of an existing collaborator whose access profile matches what is expected for the newcomer (if applicable)
You can also provide us with the following information if you know it:
- The tools they will use (e-mail, Teams, internal software, business applications, administrative tools, etc.)
- The folders or directories they should be able to view and/or modify (e.g., team folders, department documents, archives, etc.)
- The teams or departments they should be part of (e.g., sales team, accounting, management, etc.)
- If they will be working remotely, we will then activate the necessary secure access.
We can also advise you on defining the most suitable security profile based on the collaborator's role.
💻 3. Workstation & Equipment
a) Will the employee have an existing computer?
Please specify which one.
b) Should a new workstation be ordered?
Please let us know the type of device desired (laptop, desktop, tablet, smartphone, monitors, docking station,...)
We can offer you a selection of recommended Novanexys configurations, tailored to usage and best security practices.
🌐 4. Telephony, badges, and other services
If necessary:
- creation of a professional phone number
- provision of a company smartphone
- request or activation of an access badge
- addition to internal lists (directory, communication groups…)

Upon receipt of the information, we:
- let's create the necessary accounts,
- prepare or order the equipment,
- apply the best security practices,
- test the access,
- and confirm to you that everything is ready before their arrival.
